Terms of Sale
These are the payments terms that have been mutually agreed to, following your Centres registration of Apprentices and Learners.
For the price of the product or service you have purchased from Vistar, please view the latest price list in the document manager area of STAR, exclusive of VAT, for that product of service, or your Vistar proposal document.
Upon becoming a Vistar approved Centre, you will be charged an annual Vistar Centre approval fee of £500, invoiced once approved and every year thereafter. Please make payment within our terms of full payment within 30 days.
For all products and services purchased from Vistar, excluding End-point Assessments, please make payment within our terms of full payment within 30 days. Should payment not be received within these terms, the product/ service may not be able to be fulfilled.
For End-point Assessments purchased from Vistar, invoices will be sent following a registration and confirmed Gateway. Please make payment within our terms of full payment within; either seven days, or before the commencement of the first component of End-point Assessment, whichever date comes first. Should payment not be received within these terms, the End-point Assessment will not proceed.
We will charge VAT at the UK applicable rate, where required, which will be clearly stated on any invoice. If any Centre has an exemption from VAT, we will require you to sign and declare you are VAT exempt for products/ services purchased for the direct use of your Apprentices/ Learners from Vistar.
Payments are to be made via BACS payment, using Vistar account details found on your invoice.

If you need to transfer a registration, you should contact our Operations Team at firstname.lastname@example.org with all the details for them to be able to process this for you.
Cancelling or rescheduling an assessment
If you need to cancel or reschedule a registration or assessment, you must try to do so as soon as possible/ before the schedule is to start. Once the assessment schedule has begun you will not be able to make any changes to the schedule.
If the assessment schedule has begun and you need to cancel or reschedule an assessment, please contact our Operations Teams at email@example.com.
If an assessment is cancelled which results in a cancelled registration; we will require you to write or email us to confirm this including your; Centre, full name, Centre role, schedule or registrations details and the reason for cancellation. In this situation, we will then follow point
End-point Assessment cancellations, withdrawals and resits
If the circumstances of the Apprentice should change, for example the Apprentice leaves the programme and will no longer be undertaking the End-point Assessment with Vistar, the Provider must notify Vistar immediately. If the Apprentice has already been registered, Vistar will withdraw the Apprentice’s registration. If the invoice has already been paid then the full amount will be credited, provided that no costs have already been incurred.
However, if the Apprentice does not complete their End-point Assessment but has passed through Gateway and any of the assessment components, including the planning meeting have taken place, Vistar will retain the full payment of the End-point Assessment.
All re-sits and re-takes will be charged in line with the Vistar End-point Assessment re-sit/ ret-take price list. Vistar require payment in full of the respective cost before the commencement of the re-sit or re-take taking place. Should payment not be received within these terms, the assessment may not proceed until payment is received.
